Equipment

Equipment refers to long-term assets your company uses or sells. IndusTrack helps you manage equipment just like it manages inventory.

To view or manage equipment: Go to Settings > Inventory > Equipment

Add New Equipment

  1. On the Equipment page, click the Actions button.
  2. Select + Add New Equipment.
    • Alternatively, equipment record set-up can also be accessed from the Inventory List page. Go to Settings > Inventory > Inventory List. From the Actions button, select Add New Equipment. The same Add Equipment window will come up. When the new equipment record is saved, this is added to the Equipment List.

Fill In Equipment Details

Fields marked with (*) are required.

General Information

  • Name*: Enter the name of the equipment.
  • SKU*: Enter the equipment code.
  • Picture: (Optional) Upload a photo of the equipment. Max size: 15MB.
  • Manufacturer*: Enter the company that made the equipment.
  • Model*: Enter the model number or code.
  • Vendor: Choose a vendor from the dropdown. If not listed, type the name to add it.
  • Quantity on Hand*: Enter how many units you currently have. If none, enter 0.
    • You can also track inventory using Serial Numbers (see below).
    • Once the equipment record is saved and the stock location information is already available, or if applicable, open the item details in edit mode and enter the Bin # and/or Isle #. Until then, the placeholder for warehouse inventory remains disabled. However, if the inventory using Serial Numbers option is used, this warehouse inventory will remain disabled and will no longer be used.
  • Reorder Point: Set the minimum quantity before you need to restock.
  • Asset Account: Choose or enter the correct asset account.
  • Non-Taxable: Check this if the item is not taxable.
  • Sales Price/Rate: Enter the selling price for one unit.
  • Sales Description: Write a short description for the item.
  • Income Account: Choose or enter the correct income account.
  • Cost: Enter how much you paid for one unit.
  • Purchasing Description: Add any notes related to purchasing (e.g., lead time).
  • Expense Account: Choose or enter the correct expense account.

Serial Numbers (Optional)

Recording serial numbers helps track each item individually. This is optional but recommended.
Using this option will override the Quantity on Hand recorded on the General tab if any.

To add serial numbers:

  1. Go to the Serial Numbers tab.
  2. Click Add New Batch.
  3. Enter the Expiration Date (if applicable).
  4. Enter the Serial Numbers (you can add multiple).
  5. Click Add Batch to save.
    • When serial numbers are used:
      The “Quantity on Hand” field becomes read-only.
  • If the stock location information is already available, or if applicable, enter the Bin # and/or Isle #.
  • Save the new equipment record. This will be added to the Equipment List.

Edit Equipment

  1. Find the item in the Equipment list.
  2. Click on the row or the 3-dot menu > Edit.
  3. Make your changes.
  4. Click Save.

Note: You cannot edit Inactive equipment. Reactivate it first.

Change or Delete the Equipment Image

  • Change Image: Click Choose File, select a new image, and Save.
  • Delete Image: Click the X icon next to the image name, then Save.

Deactivate Equipment

Deactivate equipment you no longer use instead of deleting it.

  1. In the Equipment list, check the box next to the item.
  2. Click Actions > Make Inactive or use the 3-dot menu.
  3. To deactivate multiple, check all and click Actions > Make Inactive.
  4. Confirm in the popup.
    • The item will move from the Active List to the Inactive List.

Reactivate Equipment

  1. Go to the Inactive Equipment List.
  2. Check the box next to the item.
    • To deactivate multiple, check all.
  3. Click Actions > Make Active or use the 3-dot menu.
  4. Confirm in the popup.
    • The item will return to the Active List.

Delete Equipment

Delete only if the item was created by mistake or is no longer needed. Be careful—this can affect other parts of the system.
Note: Only Inactive equipment can be deleted.

To delete:

  1. Go to the Inactive Equipment List.
  2. Check the item(s) to delete.
  3. Click Actions > Delete.
  4. Confirm in the popup.
    • The item will be permanently removed.
