Expenses Report
Expenses reports help track spending, manage cash flow, and make better financial decisions. This guide will walk you through accessing and using the Expenses Report in your system.
Accessing Expenses Reports
- Click on the REPORTS module on the left menu.
- Select Expenses to see the available reports:
- Bill Payment List (List of paid bills)
- Bills Aging Summary (Overview of overdue bills)
- Unpaid Bills (Bills that still need payment)

Bill Payment List
This report displays data only for bills that have been paid in full or partially. Bills without any recorded payments will not appear in the report.
How to Access:
- Go to REPORTS > Expenses.
- Click on Bill Payment List.
What’s Included in the Report:
- Payment Method – How the bill was paid (e.g., credit card, cash, check).
- Vendor – The recipient of the payment.
- Payment Date – The date the bill was paid.
- Transaction Number – Reference number (e.g., check #, receipt #).
- Amount – Total amount paid.
Generating the Report:
- Select the date range (Start and End Date) or choose a preset period:
- Yesterday | Today | Last Week | This Week | Last Month | This Month
- Click Get Report.

Customizing the Report:
- Sort Data: Drag and drop column headers.

Actions Button
- Export: Click the Actions button and choose Export to Excel or Export to PDF.
- Add to Favorites: Save frequently used reports for quick access.

- Configure Report Columns: Enable or disable specific columns.
- Uncheck any columns you wish to exclude from the report and click SAVE after making your adjustments.
- Add to Favorites: Save frequently used reports for quick access.
- When you add a report to Favorites, a Favorites tab will appear in the top right corner of the left panel. All favorited reports will be displayed in the top panel for quick access.
Bills Aging Summary
This report helps track unpaid bills by age, showing how much you owe vendors and when payments are due.
How to Access:
- Go to REPORTS > Expenses.
- Click on Bills Aging Summary.

Generating the Report:
- Select a Period Ending Date.
- Click Get Report.
Understanding the Report:
- Current – Not yet due
- 0-30 Days Late
- 31-60 Days Late
- 61-90 Days Late
- 90+ Days Late
- Total – The total amount owed

Unpaid Bills Report
This report shows outstanding bills that need to be paid.
How to Access:
- Go to REPORTS > Expenses.
- Click on Unpaid Bills.
What’s Included in the Report:
- Vendor – Who the payment is owed to.
- Date – When the bill was created.
- Due Date – Payment deadline based on terms.
- Past Due – How many days past the due date.
- Amount – Total bill amount.
- Open Balance – Remaining unpaid balance.

Generating the Report:
- Select a Start Date and End Date.
- Click Get Report.

By following these steps, you can easily generate, customize, and export expense reports to manage your company’s financials effectively.
