Service Agreements

A Service Agreement is a contract between your company and the customer. It outlines what services will be provided, how often, for how much, and includes all important job and contact details. A service contract can be used for one specific job or an ongoing position that doesn’t have an end date when the contract is signed.

You can also convert a Service Agreement Estimate into a Service Agreement when you’re ready to activate it.

Service Agreements help clarify expectations—especially when services are ongoing or more detailed than usual. These are also called Service Contracts.

Add a Service Agreement to a Customer

You can add a Service Agreement directly to a customer’s profile. Jobs and tasks included in the agreement will automatically show under Upcoming Services.

Steps to Add:

  1. Go to Customers and find the client from the list. Use the Filter bar to search by company or contact name.
  2. Open the customer’s profile and go to the Contracts tab.
  3. Click Contract list
  4. Click Add New, then select Service Agreement from the list.
  5. Fill out the form. Required fields are marked with an asterisk (*).

When new equipment will need regular service, you can quickly create an agreement and add the associated jobs/tasks to it.  


General Information

  • Name*: Give the agreement a clear name or description.
  • File Upload: Upload documents like signed contracts, manuals, or images. Click Choose File to upload one or more files.
  • Proposal Template: Select a pre-made proposal template if needed.
  • Start Date & End Date*: Set when the agreement begins and ends.

List of Services

Add the jobs, tasks, and equipment that are covered under this agreement.

  1. Choose existing customer equipment or create new ones.
  2. Pick the Service Location (if there are multiple).
  3. Select a Job Template.
  4. Set how often the service happens (Weekly or Monthly).

Set the Recurrence (Frequency)

Click the repeat icon to start setting the schedule.

Weekly Schedule

  • Choose Weekly.
  • Set how often (e.g., every 1 week or every 2 weeks).
  • Select which days of the week it will occur.
  • The system will calculate and display all visits within the contract dates.

Monthly Schedule

  • Choose Monthly.
  • Select which day of the month.
  • Tick which months it should happen in.
  • The system will calculate all monthly visits.

You can add multiple jobs with their own recurrence schedules as needed.

Add Pricing Info

  • Add the price, discount, and tax for the service.

Click Save when finished. The agreement will appear under the Contracts List and the service schedule will be added to Upcoming Services.


View a Service Agreement Report

This shows the full details of the contract and the status of related jobs and tasks.

  1. Go to the Contracts List.
  2. Click the 3-dot menu next to the agreement.
  3. Select View Report.

Edit or Update a Service Agreement

  1. In the Contracts List, click the 3-dot menu next to the agreement.
  2. Select Edit, make the changes, and click Save.

Delete a Service Agreement

⚠️ Be careful—deleting a Service Agreement may affect reports, records, or job history. This action cannot be undone.

  1. In the Contracts List, click the 3-dot menu and select Delete.
  2. OR tick the checkbox next to the agreement and click the Delete button.
  3. To delete multiple, tick all the boxes, including the one in the header to select all.

A warning will appear. Click Yes to confirm, or Cancel to stop.

Once deleted, the agreement is removed from the system.
