Add and Manage Fuel Receipts Log

Use this section to manually log and manage fuel purchases for your company vehicles.

Accessing Fuel Receipts

Go to Settings > Vehicle Tracking > Fuel Receipts.


Add a Fuel Receipt Manually

  1. Click the Actions button.
  2. Select + Add Fuel Receipt Manually from the dropdown.

Fill Out the Fuel Receipt Form

Fields marked with * are required.

  • Date*:
    Enter the purchase date (MM/DD/YY) or use the calendar icon.
  • Driver*:
    Choose the employee who was driving. Use the search bar if needed.
  • Vehicle*:
    Select the vehicle. Search by name or ID if needed.
  • Fuel Type*:
    Choose the IFTA fuel type.
  • State*:
    Pick the IFTA jurisdiction (state) where fuel was bought.
  • Fuel Quantity (Gallons/Liters)*:
    Enter the amount from the receipt.
  • Cost:
    Enter the total cost shown on the receipt.
  • Vendor:
    Name of the gas station or fuel provider.
  • Address:
    Address of the fuel location.
  • Receipt Number:
    Copy from the receipt or invoice.
  • PO Number:
    Enter your company’s purchase order number, if available.
  • Fuel Card Number:
    If a fuel card was used, enter the card number.

Click Save to add the receipt to the list.


Edit a Fuel Receipt

  1. In the Fuel Receipts list, find the record you want to change.
  2. Click the 3-dot menu beside it.
  3. Select Edit.
  4. Update the necessary fields and click Save.

Delete a Fuel Receipt

  1. Find the fuel record you want to remove.
  2. Click the 3-dot menu.
  3. Select Delete.
