Description: Introducing Audit Trail for Timesheet records.  

Previous behavior: When a timesheet was edited by a field employee, the system doesn’t record the name of that employee. However, if an office user makes an edit on a timesheet entry, the system records its name under the “Edited By” column on the Timesheet Records page. 
 

Improved behavior: Now office users can track manual edits of timesheets done by field employees from mobile apps. In the list of Timesheet records, click on 3 dots for a timesheet and select Audit Trail. A window will pop up displaying the timestamp, who edited the timesheet, and what got changed. 

Description: The invoice created for a completed job is being overwritten when the office user re-completes the invoiced job. 

Previous behavior: The office user marked the job completed and converted it into an invoice. Then they make further changes to the job and convert it to invoice again. As the system links only one invoice to a job the previous invoice information will be lost, and only the new invoice will be linked to that job.   

Improved behavior: We are looking at two scenarios.  
i- Invoice not paid: Instead of creating a new invoice and unlinking the old invoice from that job, the system will ask the user “This job already has an invoice. Do you want to update or create a new invoice? If a new invoice is created, the data on the old invoice will be lost”. 

ii- Invoice already paid: When an invoice is already paid, and the field/office user tries to update the job, the system will prompt “Invoice associated with this job is already paid. Any changes to the invoice need to be updated manually, click OK to proceed or Cancel to stop”. 

Description: Changes to field notes interface and adding history for notes.

Functionality and benefits: A new tab/section will be displayed on the Edit Job page from where an office user can view all the field notes entered by their field employees.  
The Field Notes screen will also allow a user to view the name of the person who made changes to the field notes, and even they will be able to keep track of edits to field notes made by office users. 
This will assist users in knowing when and who made changes to field notes, eliminating any errors or confusion about rapid changes.

Description: Notify mobile app users through a notification whenever there is a change made from the office side to keep the mobile user updated. 

Functionality and benefits: This will assist field users to stay updated with any changes made by office users. For instance, if the office user changes the job status from ‘on hold’ to ‘completed’, it will notify the field employee and they can contact the office staff to know the reason for these kinds of changes. It will benefit both parties and constant communication will be maintained between them.

Description: When a customer signs/approves/reject/request for change to an estimate, the office user who emailed that estimate out to the customer will receive an email notification to get status updates. 

Functionality and benefits: Estimates tab shall be added to the ‘Reminders’ section (screenshot below). The notification will be titled “Notify the sender about estimate status”.   
This will allow the sender who sends out the estimate to the customer to receive a notification whenever a customer signs/approves/rejects/requests for change to an estimate.
