Schedule Maintenance and Manage Notifications
Use IndusTrack to plan regular vehicle maintenance and send reminders to your team so nothing gets missed.
Add a New Maintenance Schedule
Step 1: Go to
Settings > Vehicle Tracking > Maintenance & Reminders > Schedule Maintenance
Step 2: Click + Add New

Step 3: Fill in the required fields in the Schedule Maintenance window.
General Information
- Vehicle ID/Name*
Select the vehicle you’re scheduling maintenance for. Use the search bar to quickly find it by name or ID. - Service Type*
Type the name of the service (e.g., oil change). Once added, the service becomes available in the dropdown for future use. - Email Users
Choose who should receive reminders. Tick specific users or select all. - Toggle On Show In Popup if you want the notification to popup when the user logs in.
Set the Maintenance Schedule (Recurrence)
You can schedule maintenance by Date, by Miles, or by Engine Hours. Notifications can also be set to remind the email users regarding the upcoming maintenance schedule.
1. By Date
This means that the maintenance schedule is to occur and recur based on date triggers.
- Select By Date
- Due Date* – Choose when the maintenance should happen.
- To make it recurring, check Reoccur Every and set how often (weekly, monthly, or yearly).
- To send a reminder, check Reminder and enter how many days before the due date the alert should be sent.

2. By Miles
- Select By Miles
- Current – Shows the vehicle’s current mileage (not editable).
- Due* – Enter the mileage when maintenance should happen.
- Check Recur Every to auto-repeat after a set number of miles.
- Check Reminder and enter how many miles before the due mileage to send a reminder.

3. By Engine Hours
- Select By Engine Hours
- Current – Shows current engine hours (not editable).
- Due* – Enter when maintenance is due (in hours).
- Check Recur Every to repeat after a specific number of engine hours.
- Check Reminder and enter how many hours before the due time the reminder should be sent.

Save the Schedule
Click Save to add the new maintenance schedule. It will now appear in the Maintenance Schedule list.
Edit a Maintenance Schedule
- Find the schedule in the list.
- Click on the row to open it.
- Make changes and click Save.
Delete a Maintenance Schedule
⚠️ Caution: Deleting a schedule may affect other data or reminders.
- Tick the checkbox next to the schedule you want to delete.
To delete multiple, tick multiple checkboxes.
To select all, tick the top checkbox in the header. - Click the Delete button (enabled once a schedule is selected).
- A message box will pop up, click OK to confirm deletion.
The schedule will be permanently removed.
