Jobs Queue

The Jobs Queue page allows you to view and manage all your jobs in one place, including unassigned, assigned, on hold, completed, and invoiced jobs.

How to Open the Jobs Queue

  • Go to the Scheduling Module.
  • Click on ACTIONS.
  • Select Jobs Queue.

Overview of the Jobs Queue Page

The Jobs Queue is divided into six sections, each showing jobs in a different stage of progress:

  • Unassigned Jobs
  • Assigned Jobs
  • On Hold
  • Completed Jobs
  • Approved for Invoice
  • Invoiced

Unassigned Jobs

These are jobs that haven’t been assigned to any field employee yet.

Use this section when:

  • You’ve created a job but haven’t decided who should handle it.
  • You want to save a job to assign later.

To assign a job:

  1. Click the job.
  2. In the Edit Job window, select a field employee.
  3. Click Dispatch Now.
  4. The job will move to the Assigned Jobs section.

You can also create a new unassigned job directly from this section by clicking CREATE JOB.

Search & Filter Tools

At the top of the Jobs Queue page, you’ll find:

  • Search Bar: Look up jobs by Company Name, Job Number, Service Name, or Job Description.
  • Date Filter: Filter jobs by the date they were created.
  • Columns can be sorted by clicking the column headers.
  • Click the Eye icon to open the Job form and view its details.

Assigned Jobs

These are jobs that have been assigned to field employees.

You’ll be able to see:

  • Who the job is assigned to
  • The current status of the job

On-Hold Jobs

Jobs in this section were started but then put on hold. Common hold reasons include:

  • Customer unavailable
  • Waiting for parts
  • Pricing issues

🛠️ You can customize these reasons in your Job on Hold Settings.

To view job details:

  1. Click the three-dot menu next to a job.
  2. Select Job Report to see:
    • What’s been done
    • Field employee notes
    • Time spent on the job

Completed Jobs

Jobs that have been finished and marked as completed.

Click the three-dot icon next to a job to open a menu with the following options:

  • View Job – Opens the Job Form to see job details.
  • Approve – Approves the job so it can be invoiced.
  • View Job Report – Shows a preview of the detailed Job Report.
  • View Estimate – Available only if the job was created from an estimate. Clicking it will take you to that estimate.
  • Delete – Removes the job from the system.

Next step: Approve for invoicing

There are two ways to approve completed jobs for invoice:

  • One at a time: Click the three dots > select Approve.
  • Multiple at once: Check the jobs you want > click Approve in the top-right corner.

Once approved, the job moves to the Approved for Invoice section.


Approved for Invoice

Jobs in this section are ready to be turned into invoices.

You have three options:

  • Create one invoice per job
  • Combine multiple jobs from the same customer into one invoice
    • Check the boxes for jobs from the same customer.
    • Click CREATE ONE INVOICE FOR MULTIPLE JOBS.
  • Create separate invoices for multiple customers
  • View Job Report: See what was done on the job.
  • View Estimate (if available): This option will be greyed out if no estimate exists.

Made a mistake?
Click the three dots next to a job > select Back to Queue.
This will move the job back to Completed Jobs and remove it from this section.


Invoiced Jobs

Jobs that have already been invoiced.

Available options:

  • View Invoice: Click the three dots > select View Invoice.
  • View Job Report: See what was done on the job.
  • View Estimate (if available): This option will be greyed out if no estimate exists.

Mistakenly invoiced a job?
Click the three dots > select Back to Queue.
The job will return to Completed Jobs, and the invoice will be deleted.

Download Attachments in the Job Report

You can download all files attached to a job (such as images or PDFs) from the Job Report.

Steps

  1. Open the job and click Actions.
  2. Select View Job Report.
  3. Scroll down to the Attachments section.
  4. Click Download All Images.

A ZIP file will download to your computer containing all attachments for that job.

Deletion Restrictions

The system prevents users from deleting records that are linked to other entities:

  • Job with Invoice
    • A user cannot delete a job if it has an invoice associated with it.
